Bulk Stop Sale and On Sale in Tour Instance Manager

What's new?

Bulk Instance Management now includes an On Sale Status field. Instead of clicking the On Sale badge on each departure in the Instance Manager, and waiting for the page to reload every time, you can choose a date range and stop sale or reinstate every departure in it at once.

Sale status is set on the tour instance itself, so a change applies to every distribution partner the departure is distributed to. Existing bookings are not affected: this only controls whether the departure can be booked from now on.

The On Sale status field

The field is in the Changes section of Bulk Instance Management. It works like the other three-option fields on the page, such as Private and Sell At This Price.

Option

What it does

Leave as is

The default. Sale status is not changed. Keep this selected when you are only bulk editing other fields, such as capacity or price.

On Sale

Puts every stopped departure in the date range back on sale. Departures that are already on sale are skipped.

Stop Sale

Takes every on-sale departure in the date range off sale. Departures that are already stopped are skipped.

Skipped departures don’t cause an error

Your date range can include a mix of on-sale and stopped departures. Only the ones that need to change are updated; the rest are left as they are, and the save goes through normally.

How to Stop Sale a range of departures

  1. Open Bulk Instance Management for the tour.

  2. Set Instance Date From and Instance Date To to cover the departures you want to stop.

  3. In the Changes section, set On Sale Status to Stop Sale. Leave the other fields as they are unless you also want to change them.

  4. Submit the form. The Preview opens and lists every departure in your range.

  5. Check the On Sale column. A red marker means that departure will change; a black marker means it is already stopped and will be left alone. See Reading the preview below.

  6. Click Save Changes. You are taken to the Instance Manager, where the stopped departures now show a red Stop Sale badge.

Stopping departures: The On Sale column shows a red cross where changes will be made, like the 2/2/27 departure.

The preview is your summary

After you click Save Changes, you go straight to the Instance Manager. There is no separate summary of what changed, so check the preview carefully before you save.

How to put a range back On Sale

  1. Open Bulk Instance Management and set the date range.

  2. Set On Sale Status to On Sale.

  3. Submit the form and check the preview. Only the stopped departures are marked as changing. The reinstated departures show On Sale with a ✔️in the Valid column.

  4. Click Save Changes. In the Instance Manager, the reinstated departures show a green On Sale badge, and can be booked again on your sites.

Reinstating departures: The On Sale column shows a red tick where changes will be made, like the 2/3/27 departure.

Reading the preview

In the Bulk Instance change preview, any field that will change is shown in red. For On Sale Status, look at the On Sale column:

Marker in the On Sale column

What it means

Red X

This departure is on sale now and will be stopped.

Black X

This departure has already stopped. No change.

Red ✔️

This departure is stopped now and will be put back on sale.

Black ✔️

This departure is already on sale. No change.

How this works with other journey settings

Once a departure is on Stop Sale, it can’t be booked through any of your sites or distribution partners. How it appears depends on the journey settings for each site:

Journey Settings

How a stopped departure appears

“Only show available departures” is on

The departure is hidden.

“Only show available departures” is off and “Show sold out tours in search” is on

The departure stays listed, with a greyed-out Sold Out button.

One change, every distribution partner

As per existing functionality, Sale status belongs to the departure, not to the partner. Stopping sale takes the departure off sale everywhere it is distributed; you can’t stop sale for one partner only

Existing bookings stay as they are

Stopping sale does not cancel or change any existing bookings on that departure. They remain confirmed and still appear in Operator Bookings, and the departure’s sold and sales figures in the Instance Manager are unchanged.

FAQ's

My date range includes some departures that are already stopped. Is that a problem?

No. Those departures are skipped and the rest are updated. The save completes without an error. The same applies when putting a range back on sale.

Can I stop sale for scattered dates, like every Monday or a handful of specific departures?

Not in one action. Bulk Instance Management updates every departure in a continuous date range. For scattered dates, you can either run a separate bulk update for each block of dates, or use the On Sale badge in the Instance Manager to change individual departures.

I’m only changing capacity. Will that affect sale status?

Not as long as On Sale Status is left on Leave as is, which is the default. Sale status stays exactly as it was for every departure in the range.

Why does a stopped departure show as Sold Out on my site instead of disappearing?

That comes from the site’s journey settings. If “Only show available departures” is turned off and “Show sold out tours in search” is turned on, unavailable departures stay listed as Sold Out. Either way, they can’t be booked.

I can open Bulk Instance Management but can’t save. Why?

Saving bulk changes needs the Tour Builder permission under Tour Management. Ask your account administrator to check your user permissions.

Can I stop sale for just one distribution partner?

No. Sale status is set on the departure, so the change applies to every partner it is distributed to.

Will stopping sale cancel bookings on those departures?

No. Existing bookings are not touched. Stop Sale only prevents new bookings.

Will I see a summary of what changed after I save?

No. When you click Save Changes, you go straight to the Instance Manager. The Bulk Instance Change Preview is the only summary of what will change, so check it carefully before you save.

Has changing a single departure in the Instance Manager changed too?

No, it works the same as before. Clicking an individual On Sale badge still asks you to confirm and then reloads the page. To change several departures at once, use Bulk Instance Management.
