The Latest Updates to Tour Amigo

Consolidated Passport Information for Passengers

Passport Details have now been consolidated into a single, centralised location to improve accuracy, reduce duplication, and create a smoother experience for both staff and customers. Previously, passport details were stored across multiple forms and locations, which could lead to inconsistencies. Now, all passport data, whether entered by staff in the Tour Amigo system or by customers in the B2C Portal, syncs in real time and is managed through one unified form.


Customers and staff can now manage passport details, including number, name, issue/expiry dates, issuing country, nationality, place of birth and image, through the Passport Details tab. Access to this tab via the B2C Portal is controlled by the “Requires Passport Details” dropdown in the Tour settings.


All existing passport data has been carefully migrated, so no information should be lost.



Key improvements include:


  • Merged the passport fields on the ‘Edit Passenger’ form to the Passport Details tab into one consolidated form. This same form is now used in the B2C Portal area for customers too.

  • Centralised management of passport details across Tour Amigo and the B2C Portal, providing a single source of truth.

  • Enhanced tour documentation, with Tour Manifests and Passenger Lists now pulling passport details from this unified source.

  • New Nationality field added across all passport forms, and displayed in Tour Manifests and Passenger Lists (when enabled).


Will I lose any data when the two forms are merged?


No, you should not experience any loss of data. All existing information has been consolidated rather than replaced or removed. If passport details were previously entered in the ‘Edit Passenger’ form, they have been migrated to the corresponding fields in the new Passport Details tab. Any information already stored in the Passport Details tab has also been preserved.


Passport Details tab in Tour Amigo


In Tour Amigo, all passport information is now managed exclusively through Booking > Passengers > Passport Details (tab). 



This tab displays a table summarising all passport details for each passenger on the booking, with each passenger shown in a separate row. Any missing information appears as an empty cell, for example, the Issuing Country has not been entered for Passenger One. Likewise, if no passport image has been uploaded, the cell will display a Missing label.



You can add or update passport information using the Update button on the right, and download any uploaded passport image using the Download button. Any changes made here automatically sync with the B2C Portal, and vice versa.


The following passport fields can be entered for each passenger:


  • Passport Number

  • Name on Passport

  • Issue Date

  • Expiry Date

  • Issuing Country

  • Nationality

  • Place of Birth

  • Image Upload 



Passport Details fields in the Booking Journey


During the booking journey, the passport details fields can be displayed at the bottom of the Passenger Details form, if enabled (see below for how to enable this). 


The fields available are identical to those in Tour Amigo. Any details added here are reflected in the Tour Amigo system and in the B2C Portal if the customer is logged in.


Passport Details tab in the B2C Portal


When customers log into their portal and view their booking, they can access and update their passport information through the Passport Details tab.



As in Tour Amigo, the tab presents a table showing the passport details for each passenger. Missing information appears as empty cells, and missing images are marked with a Missing label.


The fields available for editing are identical to those in Tour Amigo. Any details added or updated by the customer are instantly reflected in the Tour Amigo system, and updates in Tour Amigo are also shown here.


Enabling & Disabling Passport Details fields in the Booking Journey and B2C Portal


The visibility of the Passport Details fields in the booking journey and customer portal is controlled by the “Requires Passport Details” dropdown located on the Tour Details page when managing a tour in Tour Amigo.



There are 3 options to choose from:


  • Required for booking

    • Passport fields will be displayed at the bottom of the Passenger Details form during the booking journey. 

    • The Passport tab will be displayed in the B2C Portal.

    • In both places, Passport Number, Name, Expiry Date & Nationality will be required fields. Additionally, Passport Image Upload will also be required in the B2C Portal.


  • Required for travel

    • Passport fields will be displayed in the booking journey, but all fields will be optional. 

    • The Passport tab will be displayed in the B2C Portal and the same fields as above will be required.


  • Not required

    • Passport fields are not displayed in the booking journey.

    • The Passport tab is not displayed in the B2C Portal.


In all cases, the Passport Details tab is always displayed in the Tour Amigo system.


Nationality is now exposed to Tour Manifests & Passenger Lists


To display passport information in your Tour Manifest or Passenger List, open Manifest Setup via the Tour Management area and enable the Passport Information toggle within the Passenger Details section.



Once enabled, three new columns (Passport Number, Expiry Date & Nationality) will appear in both documents. 


To add the same passport fields to Supplier Passenger Lists, enable the relevant toggle under Suppliers > Supplier Management > Passenger List Setup.


Locking Passport Fields - Preventing customers from modifying passport information in the B2C Portal


This is set on the Tour Details page when managing a tour in Tour Amigo. If either of the options ‘Required for booking’ or ‘Required for travel’ is chosen in the “Requires Passport Details” dropdown, then a new toggle displays beneath called “Lock Passport Details After Booking”. 



When the toggle is enabled, customers will not be able to edit their passport details via the B2C Portal. They will still be able to view them, and a message is displayed informing them to contact the operator if changes are required. 


This toggle is used in conjunction with the dropdown above. For example, if the required option is set to ‘Required for Booking’ and Lock is enabled, then the customer will be able to enter their passport details via the booking journey; they will be able to view these details against the booking in their portal, but they will not be able to edit them in the portal.
