Flexible Document Scheduling

Overview

This new feature separates "when a document should be sent" (Booking Type) from "who should receive it" (Target Recipient), giving you more flexibility when creating & maintaining your document schedules, while maintaining compatibility with existing document schedules.

What's changing?

The existing Target Recipient field has been renamed to Booking Type because it actually controls which booking types trigger a document schedule, not who receives the documents.
A new field called Target Recipient has been added to explicitly control who receives the email/document when the schedule is triggered.

Key Benefits

Operators now have full control over both:

Which bookings trigger a schedule (Booking Type)
Who receives the documents (Target Recipients)

Examples:

Send documents to all passengers on a B2C booking.
Send documents to a distribution partner's general inbox and Head of Sales.
Send documents to both passengers and agents.
Create a single schedule that works across multiple distribution partners.

Booking Type

This determines when the schedule runs.

Booking Type	Description
B2C	Sends only for guest bookings
B2B	Sends only for agent or distribution partner bookings
Both	Sends for both B2C or B2B bookings

Target Recipient

This determines who receives the email:

Recipient Option	Description
Lead Passenger Email	Sends to the lead passenger's email address
All Passenger Emails	Sends to the lead passenger plus any passengers with email addresses
Distribution Partner Main Email (B2B & Both types only)	Sends to the distribution partner's main email address
Distribution Partner Specific Email (B2B & Both types only)	Sends to selected users who are associated with the distribution partner who made the booking*
Lead Passenger and Distribution Partner Emails (B2B & Both types only)	Sends to both the lead passenger and distribution partner
Distribution Partner Booking User Email (B2B & Both types only)	Sends to the distribution partner user who made the booking, or the distribution partner's main email address if no distribution partner user is found

* Note: Any matching users will receive the email if they are selected in the list. For example, given you select User 1, 2 & 3 from ABC Agency, if any ABC Agency user makes the booking, all 3 users will receive the email.

Email Delivery Rules

Multiple Target Recipient options can be selected
Duplicate emails are not sent to the same recipient (for the same schedule, e.g. if that user qualifies for multiple target recipients)
Emails are only sent to valid recipients matching the booking
Distribution Partner Specific User emails only send if the selected user belongs to the partner that made the booking
