New ‘Booking Status Update’ Email Section

This feature introduces a new document section that can be added to your email documents to send booking confirmation updates when the booking status changes.



Note: If you are viewing on a smaller screen size, you will first need to click the ‘3 dots’ button to see some of the actions & buttons mentioned below


Create a new email document


  1. Go to Documentation > Manage Documents

  2. Click the ‘Add Document Type’ button at the top to create a new document 

  3. Enter a name for the email

  4. Choose ‘Booking’ as the ‘Scope’

  5. Choose ‘Email’ as the ‘Output Format’

  6. Enter a Subject Line for the email

  7. Click the ‘Add Item’ button to save the document

  8. Follow the steps below to add the new template to this document


Add the new section to the email document


  1. Go to Documentation > Manage Documents

  2. Click the ‘Sections’ button next to an existing document to edit it

  3. Click the ‘Add Document Section’ button at the top

  4. From the ‘Section Type’ dropdown, choose ‘Booking Status Update’ section


Creating a schedule to auto-send this email when a booking status is changed


  1. Go to Documentation > Schedule Documents

  2. Click the ‘Add Document Schedule’ button at the top

  3. From the ‘Document Type’ dropdown, choose the new ‘Booking Status Update’ email that you created above

  4. In the ‘Configuration’ section, choose ‘When something happens’ as the ‘Schedule based on’ type

  5. From the ‘Event’ dropdown, choose ‘Booking Status Changed’

  6. From the ‘Booking Status’ dropdown, choose the desired status trigger. By default this is ‘Any’

  7. Complete the other optional fields to suit your needs


For example, to create a schedule that automatically sends this email whenever a booking is updated to ‘Confirmed’ status, choose the following options:



Email Display

The email automatically displays the following booking information:

  • Distribution Partner name

  • Booking reference

  • Tour name

  • Lead Passenger name

  • Booking status
