The Latest Updates to Tour Amigo

The Tour Cleanup feature allows you to permanently delete tours that are no longer needed, helping keep your tour list organised and free from unused or incorrectly created tours.

Important: Unlike marking a tour as Inactive, deleting a tour removes it permanently from the Tour Amigo system and cannot be undone.

Accessing Tour Cleanup

1. Navigate to Tour Management

2. Select Tour Cleanup

3. The page displays all tours that are eligible for permanent deletion

You must have the Tour Management permission to view this. Reach out to your system manager or Tour Amigo Customer Manager to obtain this. 

Which tours can be deleted?

A tour can only be deleted if:

• It has never had a booking (if it was ever booked, even if that booking was later cancelled, it cannot be deleted)

• It is not a sub-tour inside a back-to-back tour

Eligible tours may be in any status:

• Building

• Active

• Inactive

The status of each tour is displayed using colour-coded labels:

• Building = Grey

• Active = Green

• Inactive = Red

You can only delete your own tours. Tours from 3rd party suppliers or other Hermes operators cannot be deleted.

Deleting tours

You can delete:

• A single tour

• Multiple selected tours

• All eligible tours using the Select All option

Any tour type can be deleted, provided it meets the eligibility requirements.

To delete tours:

1. Tick the checkbox next to the tour(s) you wish to remove

2. Click Delete

3. Confirm the deletion when prompted

Important: Tour deletion is permanent and cannot be undone

What happens when a tour is deleted?

Deleting a tour removes information that belongs only to that tour, including:

• Fixed supplier costs

• Packages & tiers

• Additional information tour-specific items

• Vehicles & other costs attached to a tour via TruTrip 

Items shared elsewhere in Hermes are not deleted, including:

• Suppliers

• Global Contracts

• Additional Information library items

These shared records remain available for use in other tours.

Back-to-back tours

There are two different types of Back-to-Back tours to be aware of:

Back-to-back Control tour

The main Back-to-Back tour can be deleted if it meets the deletion criteria.

Deleting it will:

• Remove the Back-to-Back link

• Leave all individual sub-tours in place

Once detached, eligible sub-tours can also be deleted if they meet the deletion criteria.

Back-to-back Sub-tour

Sub-tours that are currently linked to a Back-to-Back tour cannot be deleted.

They will only become eligible once they are no longer attached to a Back-to-Back tour.
